Management Assistant (Male, Female or non-Binary)

The Embassy of the Kingdom of the Netherlands in Santiago is seeking a Secretary / Management Assistant (M/F/NB) (37,5 hrs per week), who, among others, is directly supporting the ambassador in her day-to-day business. Someone who is able to keep many plates spinning at the same time and play a key role in the organization of the embassy. Someone who is an excellent planner and organizer and has a pragmatic and pro-active approach and is able to take decisions within his/her/their competence. Someone who likes to be on top of things and is able to think along with the results of the embassy. Someone who is a team player but can hold one’s ground at the same time. Someone who has strong communicative skills and knows how to strike the right note towards external stakeholders. External awareness and cultural sensitivity are very well developed.

GENERAL
  • The Embassy of the Kingdom of the Netherlands maintains and promotes the bilateral relations between the Netherlands and Chile, represents the Dutch government in Chile and assists Dutch citizens in Chile who need it.  The year 2025 will be a special year for the embassy in which we celebrate 200 years of bilateral relations between Chile and the Netherlands.
  • The promotion of human rights, in particular LGBTQIA+ and women’s rights, businesses & corporate social responsibility is one of the key tasks of the Dutch government in Chile.  Another key task is the promotion of Dutch exports, investments and business development. The economic presence of the Netherlands in Chile is characterized by innovation, sustainability and the cooperation between public, private and research (‘the golden triangle’). Priority sectors at the Embassy are: Water, Agriculture, Green Hydrogen, and Critical Raw Materials. Responsible business conduct is also a priority theme.
  • The Embassy works as a close team, with direct, non-hierarchical, open, responsible and professional internal relations and high integrity.

Tasks
  • Secretarial (administrative) management and logistical and organizational support.
  • Organizing and coordinating seminars, visits and events.
  • Organizing working lunches, dinners, and cocktails. Including the financial settlement.
  • Inbox management for some general email accounts.
  • Contact database management.
  • Acting as liaison between the internal organization and the external environment.
  • Drafting and preparing documents and taking care of correspondence and archiving. 
  • Acting as a back-up for the colleague responsible for organizing and handling protocol work with the Chilean protocol division.

Requirements
  • Great communication skills, can easily establish and maintain contact with all kinds of counterparts, client-friendly and service-oriented.
  • Demonstrable organizational skills and an excellent time manager.
  • The ability to work both independently and in a team.
  • An excellent command of the Spanish and English language. Written as well as spoken. Knowledge of Dutch, or the willingness to learn this language, is a plus.
  • Command of Windows-based MS Office programs such as Excel, Word, and Outlook. Experience with Microsoft Dynamics 365 (Client Relations Management), or the willingness to follow a training, is a plus.
  • Able to hold one’s ground, not accept just any instruction, knows how to get to better results. A self-starter who likes to make his/her/their own decisions within given boundaries.
  • Can handle stress, keep several balls in the air, knows when to give what priority, able to easily shift between tasks.
  • Flexible and prepared to work occasionally in the evenings.
  • Although we value professional experience, enthusiasm and the will to learn new things are more important to us.

Working level and salary
Job level: scale 6.  Gross salary between  CLP 1.751.842.-   and CLP 2.219.000.-, based on experience.

We offer a contract for the period of 1 year with a probational period of 2 months. The embassy has a package of secondary employment benefits, like a lunch allowance and coverage of medical expenses.
