Administrative Assistant to the Immigration Liaison Officer

The position

The Immigration Liaison Officer (ILO) represents the Netherlands Immigration and Naturalisation Service (IND) in the assigned region with the aim to prevent and combat irregular migration to the Netherlands and to partner states. This is achieved through:

  • Cooperating closely with countries and partners in the region; 
  • Gain insight in (irregular) migration trends and new falsifications 
  • Provide training, information and advice concerning possible new falsifications, trends and routes regarding irregular migration to amongst others (international) colleagues, (immigration) authorities, conveyors and security companies.

The administrative assistant to the ILO is responsible for the quality and punctuality of the products delivered by the ILO. The administrative assistant is responsible for providing policy support as well as administrative and logistical support to enable the ILO to perform the tasks and responsibilities. This is done by:

  • Support to research and analysis;
  • Establishing and maintaining a relevant network;
  • Administrative and logistic support. 

Duties and responsibilities    

The main tasks and responsibilities of the administrative assistant to the ILO are:
Support to research and analysis:

  • Contributing to the ILO reports and the network bulletins;
  • Responsible for production, processing and adjusting ILO products such as reports, alerts, PowerPoint presentations, etc.

Communication and network:

  • Maintaining an efficient working relationship with the ILO Back Office in the Netherlands and regularly contacting the ILO Back Office concerning the duties at hand and completed tasks;
  • Maintaining contacts with local as well as international (immigration) authorities, conveyors, handlers and security companies in the region;
  • Maintaining good relations with the worldwide ILO network and networks of other foreign immigration attachés/liaisons and their assistants; 
  • Maintaining a good working relationship with colleagues of the Consular Departments of the Embassies in the assigned region of ILO Bangkok.

Administrative support:

  • Maintaining the administration of the ILO office and the ILO in personnel, finance, operational collaboration and logistics;
  • Processing duties according to the requirements of the ILO Back Office formats;
  • Processing and registering incoming messages, registering incoming and outgoing mail,  archiving messages and maintenance of (progress) files;
  • Organising meetings, accommodation, tickets, transport for ILO and contacts of ILO (e.g., visitors and/or delegations travelling to or from the Netherlands);
  • Keeping training material for supplies and operation up to date;
  • Correct and speedy handling of requests received from the ILO, the ILO Back Office and/or the ILO network, while being able to quickly switch between tasks and assess the urgency and importance of tasks.

Working environment

The Immigration Liaison Office at the Embassy of the Kingdom of the Netherlands in Bangkok, Thailand consists of the Immigration Liaison Officer and the administrative assistant to the ILO. The Immigration Liaison Office works in a dynamic environment with a broad variety of contacts, including the ILO Back Office in the Netherlands, the worldwide ILO network, Thai authorities and the networks of other foreign immigration attachés/liaisons and their assistants. The Immigration Liaison Office is part of the of the team of the Embassy of the Netherlands and cooperates closely with other departments within the Embassy as well as with the Netherlands diplomatic and consular network in the assigned region of ILO Bangkok. 

Job requirements:

  • University education level;
  • 1-2 years of work experience as an administrative assistant;
  • Fluency in verbal and written English and Thai;
  • Able to translate between English and Thai at a technical level;
  • Knowledge of and skill in using MS-office (Word, PowerPoint, Excel, etc); 
  • Excellent communication skills;
  • Good networking skills;
  • Eager to learn and able to apply knowledge on the work floor;
  • Familiar with and knowledgeable and respect of Thai and Netherlands culture and customs;
  • Capable to deal with confidential information;
  • Work accurately and systematically;
  • Be flexible;
  • Have skills in archiving;
  • An awareness of the work area of the ILO and the terminology/concepts is an advantage.

The Immigration Liaison Officer is looking for an enthusiastic team player with a professional and independent work attitude. The successful candidate has very good communication skills and pays attention to clear and comprehensive communication with his or her colleagues and manager. The administrative assistant should be capable of functioning effectively under stress and high work pressure and always maintain high social and ethical values. The administrative assistant to the ILO is analytical, accurate, alert and pro-active.

Conditions of employment

 

  • The administrative assistant to the ILO reports to the office of the Immigration Liaison Officer at the Embassy. The administrative assistant to the ILO is deployed by the State of the Netherlands as a local employee in the position of Administrative Assistant to the Immigration Liaison Officer;
  • The salary scale for this function is 6 and the salary number is 0. This means a salary of approximately 32,000 THB gross per month based on a workweek of 20 hours;
  • The successful candidate will be offered a contract for 20 hours a week for the duration of one year with the possibility to extend. There is a probationary period in place of two months. 
  • Starting date is as soon as possible.
